Job Summary
Member of the Finance team whose main role is to ensure accurate and timely processing of the
recording of company’s payroll, accounts receivable and accounts payable. Other duties include,
budgeting, forecast expenses, workforce management, investigative reporting of benefits, and of
other company and employee financial information, participate in daily data entry, Payroll
processing and meeting strict deadlines. This position will impact a rapidly growing organization
including the home office and other location(s).

Duties and Responsibilities
The following duties and responsibilities mostly reflect the expectations of this position, but are
not intended to be all inclusive.

  • Process current and past employee data (new hires, additional earnings, other
  • information which may reflect their status)
  • Input W4 information
  • Partner and establish working relationship with My Pay (third party vendor)
  • Process employee attendance data from the Time system; reconcile variances utilizing
  • tools in the time and payroll systems.
  • Update weekly payroll hours timesheet for team leads – for entering of OT, PTO,
  • vacation, benefits, and any other system time/employee issues
  • Ensure and manage employees knowledge of their time; report discrepancies to team
  • leads
  • Ensure team leads investigate discrepancies before giving to payroll department
  • Ensure deductions are entered for replacement badges or lost checks
  • Make sure deductions are made based on payroll law for non-exempt/exempt employees
  • Manage and input based on approval
  • Check PTO report for accuracy
  • Investigate and determine employee PTO eligibility and use
  • Keep track of benefit status and deletions of benefits when applicable
  • Approve and release time in the time system
  • Ensure direct deposit eligibility forms are signed and sent to HR
  • Ensure commission and /or bonus is included with payroll deadline
  • Update salaries and hourly wage when applicable due to reviews, promotions, demotions,
  • and other changes in employee status
  • Process accurately employee pay
  • Resolution of financial questions regarding employee pay, and benefits
  • Print and ensure delivery checks
  • Make sure all checks are accounted for
  • Update payroll sign off sheet for each department
  • Knowledge of Payroll Law for both exempt and non-exempt employees
  • Check benefit invoices monthly to ensure accuracy of those signed up for insurance, and
  • for terminations
  • Assist employees in registering for or resetting access to online portal (intranet)
  • Assist the Billing Department with ACHs, check’s deposits and other duties as assigned
  • Posts customer payments by recording cash, checks, and credit card transactions
  • Deposits Client payments and accurately forecasts future debit/credit in advance
  • Reconciles processed work by verifying entries and comparing system reports to balances
  • Charges expenses to accounts and cost centers by analyzing invoice/expense reports;
  • recording entries
  • Pays vendors by monitoring discount opportunities; scheduling and preparing checks;
  • resolving purchase order, contract, invoice, or payment discrepancies and
  • documentation; insuring credit is received for outstanding memos; issuing stoppayments
  • or purchase order amendments
  • Work with Workforce department by creating a check and balance process of OT, PT and
  • employee’s worked hours
  • Other duties assigned by members of Management and the Executive Team

Education and/or Experience

  • BS, BA or related years of experience (Minimum 1 year)
  • 1-2 years on payroll employment experience

Tools and Equipment Used
Computer, including word processing, spreadsheet, email and database application software;
printer; phone; scanning equipment; copy machine; and fax
